For a business, the real cost of a move is not the truck β it's the days your team can't work. A good office move is planned so that people leave the old office one evening and start work in the new one the next working morning. Here's how to get there.
1. Pick one person to own the move
Choose an office coordinator who makes decisions and is the single point of contact with the movers. You get one dedicated support contact from our side too, so questions never fall between people.
2. Plan the move around business hours
We plan office moves around your working hours, and weekend or after-hours moves are possible. For most offices, a Friday evening or Saturday move with Sunday for setup works well. Tell your clients in advance if phones or email may be down for a few hours.
3. Map the new office before moving day
- Draw a simple floor plan of the new office and number every desk, cabin and room.
- Give each employee their desk number, and label their boxes, chair and equipment with the same number.
- Check power points, network points and the internet connection at the new site before the move β this is the most common cause of a lost first day.
4. Protect IT equipment and files
- Back up servers and important computers before anything is unplugged.
- Photograph cable connections at the back of servers, printers and network racks.
- Keep confidential files in sealed, numbered boxes, and keep a list of what's in each.
- Laptops, hard drives and anything with sensitive data are best carried by your own staff.
Our team handles IT equipment and files with extra care, and office assets are covered by insurance during the move.
5. Ask staff to pack their own desks
Give everyone a box or two a few days before and ask them to pack personal items and desk papers themselves. It is quicker, and people know what is theirs.
6. Set up the new office
On arrival, furniture and workstations are placed according to your floor plan. Our team can help set up furniture and workstations at the new site so it's ready to use. Do a quick check that each desk has its equipment, power and network before staff arrive.
7. After the move
- Update your address on Google Business Profile, your website, invoices and GST records.
- Check every box against your list, and report any damage with photos straight away.
